Our workshops are relaxed, welcoming and carefully prepared in advance. This policy explains what happens if your plans or ours need to change.

MAKING A BOOKING

WHEN IS MY PLACE CONFIRMED?

Your place is confirmed once full payment has been received and you have been sent an order confirmation. Please check the workshop, date, time, number of places and contact details carefully.

If you do not receive a confirmation, check your junk folder and then email us before placing another order.

HOW MANY PLACES SHOULD I BOOK?

Please select one place for every person taking part. Spaces are limited and only confirmed attendees can participate. If you would like to add someone later, contact us or make another booking while places remain available.

IS THERE A COOLING-OFF PERIOD?

Workshops are leisure activities supplied on a specific date. These bookings are generally excluded from the usual 14-day cancellation right for online purchases. Our voluntary cancellation and transfer terms are set out below and do not affect any other statutory rights you may have.

CAN I BOOK FOR SOMEONE ELSE?

Yes. Please make sure the attendee knows the workshop details and this policy. If the booking has relevant allergy, accessibility or safeguarding information, send it to us in advance.

CANCELLATIONS & CHANGES

HOW DO I CANCEL OR MOVE MY PLACE?

Email hello@thearthood.co.uk as soon as possible with your name, order number and workshop date. The date we receive your email will be used to work out the notice given.

A transfer or credit is offered once per booking, has no cash value and must be used within 12 months. It cannot be guaranteed until we confirm a suitable available workshop.

WHAT IF I CANCEL WITH LESS THAN 7 DAYS’ NOTICE?

At this stage Hollie will usually have bought materials and reserved a limited studio place, so bookings are not normally refundable or transferable. If we can resell your place, we’ll offer a transfer, credit or refund after deducting any reasonable, unrecoverable costs.

You may send another suitable person in your place at no additional charge. Please tell us their name before the workshop and make sure they meet the stated age requirements.

WHAT IF I AM ILL OR HAVE AN EMERGENCY?

Please do not attend if you have a contagious illness. Contact us as soon as you can. Although we cannot promise a refund or transfer outside the terms above, we’ll consider genuine emergencies fairly and may offer an alternative where circumstances and availability allow.

WHAT IF THE ART H.O.O.D CANCELS?

If we cancel a workshop, you can choose a full refund or transfer your payment to another available date. We’ll contact you using the details supplied when you booked.

We are not responsible for separate expenses such as travel, accommodation or childcare, so please consider refundable arrangements where appropriate.

CAN A WORKSHOP DATE, VENUE OR TUTOR CHANGE?

Occasionally we may need to make a reasonable change to the timing, venue, content or tutor. We’ll give you as much notice as possible. If a significant change means you can no longer attend, we’ll offer a transfer or refund.

WHAT HAPPENS IF THERE ARE NOT ENOUGH BOOKINGS?

A workshop may require a minimum number of attendees to run. If that number is not reached, we may reschedule or cancel it and will offer you a transfer or full refund.

Please check the individual workshop page and your confirmation before travelling.

WHAT TIME SHOULD I ARRIVE?

Please arrive around 5–10 minutes before the advertised start time so you can settle in. Workshops need to begin on time for everyone. If you are running late, contact us where safely possible; we cannot guarantee entry or repeat missed demonstrations.

DO I NEED TO BRING ANYTHING?

All essential art materials are provided unless the workshop listing tells you otherwise. Art can be messy, so wear clothing and footwear you are comfortable creating in. The Art H.O.O.D cannot accept responsibility for paint or materials transferred to clothing or personal belongings where reasonable care has been taken.

ARE DRINKS PROVIDED?

Complimentary drinks are provided as described on the workshop page. Alcohol is only available to attendees aged 18 or over, and we may ask for proof of age. A non-alcoholic choice will be available. Please drink responsibly and arrange safe travel home.

WHAT ARE THE AGE REQUIREMENTS?

Each listing states who the workshop is suitable for. Please do not book anyone below the stated minimum age without agreeing it with Hollie first.

For children’s workshops, the listing will explain whether a parent or responsible adult must remain on site. The person making the booking must share any relevant medical, allergy, accessibility or additional-support information that may help us provide a safe session.

WHAT ABOUT ALLERGIES OR ACCESSIBILITY?

Tell us before booking if you have an allergy, medical need, disability or access requirement that could affect participation. We’ll explain the materials and venue arrangements and discuss reasonable adjustments. We cannot guarantee an allergen-free environment.

WHAT BEHAVIOUR IS EXPECTED?

We want everyone to feel comfortable and welcome. Please treat other guests, Hollie, the venue and equipment with care. We may ask someone to leave if their behaviour is unsafe, discriminatory, disruptive or affects other people’s enjoyment. A refund will not normally be given in those circumstances.

WILL PHOTOGRAPHS BE TAKEN?

We may ask to photograph workshop activity or finished work for The Art H.O.O.D website and social media. We will ask permission before taking identifiable photographs, and you are always welcome to say no. A parent or guardian’s permission is required for identifiable images of children.

PRIVATE WORKSHOPS & EVENTS

DO THESE TERMS APPLY TO PRIVATE EVENTS?

Private workshops may involve different payment dates, deposits, group sizes, cancellation terms and venue arrangements. These will be set out in your written quotation or booking confirmation. Where private-event terms differ from this page, the terms agreed for your event will apply.

WHEN IS A PRIVATE EVENT CONFIRMED?

An enquiry does not reserve a date. A private booking is only confirmed when we have agreed the details in writing and received any stated deposit or full payment.
